How to book a venue for a party
Know your date, a back-up date and a rough headcount, then ask the venue what the price includes, whether there's a minimum spend, and what the deposit is, and get it all by email. Or set your simp to call the venue and bring back the answers, and it asks you before holding a date.
What you can do yourself.
A birthday, an anniversary, a leaving do or a family get-together: the same questions work for most venues.
Know your numbersHave a date, a back-up date, a rough headcount and a budget before you call.
Check what's listedMost venues list their rooms, how many each holds and their packages online. It saves a question or two.
Ask what the price includesRoom hire, a minimum spend, food, music, decorations and what time you need to be out by.
Ask about the depositHow much it is, when it's due, and what happens to it if the numbers or the date change.
Check the practical bitsStep-free access, parking, children, and whether you can bring your own cake.
Get the quote in writingAsk for the price and any hold on the date by email before you pay anything.
The catch: a quote is a list of questions rather than one answer, and venues often call back, so getting the full picture can take more than one call.
How a simp does it.
Alex wanted a private room for about thirty people. Gareth called the venue, asked Alex in the app before holding the date, and came back with the room held and the details on their way by email.
Gareth - Hold a room for a partyOutgoing - AI number - 0:52- 00:02 - VenueHello, events team.
- 00:04 - GarethHi, I'm Gareth, calling for Alex. Alex is looking for a private room for about thirty people on Saturday the 14th, for a fortieth birthday.
- 00:15 - VenueThe upstairs room is free that night. There's no hire charge, just a minimum spend at the bar. I can hold it for a week.
- 00:24 - GarethThank you. Alex asked me to check with him before holding anything. One moment.
- 00:41 - GarethAlex says yes, please hold it. Could you email the minimum spend and what's included?
- 00:47 - VenueOf course. It's held until next Saturday under Alex Morgan.
Held for a week - the upstairs room, Saturday the 14th. Price and details coming by email.
Tell it what you need. It brings back the answers.
Tell your simp the venue, the date, the headcount and what you want to know. It never calls without your say-so, and your simp only calls between 8am and 9pm, in the time zone of the person or business it's calling. Calls to a toll-free number follow these hours in your own time zone. It asks your questions, and it checks with you in the app before it holds a date or agrees to anything.
Questions about booking a party venue.
Can my simp call several venues to compare?
Each call is one you set up, to one venue you choose. Simp's terms don't allow working through a list of numbers, so you pick the venues and compare the answers your simp brings back.
What your simp is allowed to doWill it hold a date without asking me?
No. Your simp asks you in the app first. If you say no, or don't reply, it doesn't hold it.
What your simp is allowed to doWhen will it call the venue?
When you start the call, or at the time you set: your simp only calls between 8am and 9pm, in the time zone of the person or business it's calling. Calls to a toll-free number follow these hours in your own time zone.
What your simp is allowed to doDoes it use my AI minutes?
Yes. The whole call counts towards your monthly AI minutes, time on hold included. Your simp waits on hold for up to 6 minutes, then lets you know so you can take over. You can top up in the app if you run low.
Compare the plansLet your simp ask the venue.
Every plan comes with a simp that asks the questions and checks with you before it agrees to anything.
